Because every step in Docvivo, from potential to offer and from offer to appointment, is on record, reports build themselves. This article covers the dashboard and the representative performance report.

Dashboard

The Dashboard in the left menu is the home page you see when you open Docvivo. Which cards you see depends on your role's permissions.

Statistics

  • Created Appointment and Occured Appointment: The number of appointments created during the period and the number whose date arrived.
  • Potential: The number of potentials that came in during the period.
  • Offer: The number of offers, the offer total and the deposit total.

At the top of each chart, choose Today, This Week or This Month. With the user filter, you can look at the numbers for one or more representatives; you can narrow the appointment charts by appointment status and operation type, and the potential chart by state and data source. Every chart shows the change from the previous period as a percentage.

List

The lower part of the dashboard shows short lists of upcoming appointments, customer records, potentials, users, offers and reminders. Click a record to open its details.

Representative performance

  1. Open Reports → Representative Performance from the left menu.
  2. Choose the period with the date filters at the top: presets such as Today, This Week, This Month and Previous Month, or a Custom Date Range.
  3. To look at only some representatives, make a selection in the user filter.

The report has three parts:

  • Statistics: The total number of potentials, offers and appointments in the selected period, and the representatives' average conversion rate.
  • Ranking: The top three representatives by conversion rate.
  • Representatives: How many potentials each representative received, how many offers and appointments they created, and their conversion rate.

Conversion Rate is a representative's number of appointments divided by the number of potentials they received. For example, a representative who turns 40 potentials into 10 appointments has a conversion rate of 25%.

Other reports

  • The Reports menu has the Sales Report and Progress Report lists, which you can export to Excel. Depending on your role, you also see Own Sales Report and Own Progress Report.
  • State Metrics and Average Process Duration in the Potential menu show how long potentials take to move between states.
  • For conversion of Meta lead forms by campaign, ad set and ad, see Connect Meta Lead Ads forms.

Why can't I see some charts?
