Connect Meta Lead Ads forms

Turn submissions from Facebook and Instagram lead ad forms into potentials automatically: field mapping, syncing earlier submissions and ad performance.

When you connect your Meta ad forms to Docvivo, everyone who fills in a form automatically becomes a potential record and is assigned to a representative. This article explains how to map a form, how to bring in earlier submissions, and where to see ad performance.

Before you start

  • The Facebook page the form belongs to must be connected to Docvivo. See Connect a Facebook page.
  • Records from forms are assigned by pipeline. Set up a pipeline for the data source you'll choose for the form: Set up pipelines.

Mapping a form

  1. On the Integrations → Facebook page, click Manage → Forms on the page's card. The page's forms are listed with their status, language, whether they're mapped, and how many potentials they've brought in.
  2. Select the form and click Mapping.
  3. Choose a Target field for each Form field: Name for the first name, Surname for the last name, Phone for the phone number and Email for the email address. Choose Custom for any other question. Docvivo suggests a mapping based on the field types in Meta, so you only need to check it.
  4. In the Potential Settings section, choose the Data Source, Language and Operation Type for potentials from this form. All three are required.
  5. If you like, enter a Source URL Template. This text is written into the potential's source information; you can add campaign details with placeholders such as {{campaign_name}}, {{adset_name}}, {{ad_name}} and {{form_name}}.
  6. Click Save.

How do submissions become potentials?

  • The potential record is created the moment the form is submitted, and it starts in the start state.
  • The record is assigned through the pipeline that matches the form's data source, operation type and language. These records go to the first representative in the queue who isn't paused.
  • All of the form's answers are stored on the potential. The campaign, ad set and ad the submission came from are written to the record as well.
  • If the same phone number comes in again with the same data source and operation type within an hour, no second record is created.

Bringing in earlier submissions

To bring in submissions that arrived before you mapped the form, select the form and click Sync. Docvivo pulls in the form's submissions, skips the ones already imported, and shows how many were brought in. Records that come in through a sync get the day of the import as their creation date.

Select the form and click Potentials to list the records that came from it. If you want to redo the mapping from scratch, use Reset Mapping; a reset form doesn't receive submissions until it's mapped again.

Ad performance

Select the form and click Ad Performance. In the Group by field, choose Ad, Ad Set or Campaign. Each row shows the number of leads, how many have a customer record, how many were cancelled, how many are still active, and the conversion rate. The conversion rate is the share of total leads that became customer records.

Frequently asked questions

Where do I connect Instagram lead forms?

Forms that run on Instagram also appear in the Forms list of the Facebook page the ad belongs to, and you map them the same way.

Can I see ad spend too?

No. The ad performance screen shows lead and conversion numbers; spend and cost per lead stay in Meta's Ads Manager.
